Reserve the GAVAR Media Room
Request time in the GAVAR Media Room for podcasting, video recording,
photography, marketing content, and other approved media projects.
All reservation requests are subject to staff approval.
Reservation Policies
- Reservations are available on a first-come, first-served basis.
- Each reservation is for one hour, with 15 minutes scheduled between sessions.

Members may request no more than two consecutive one-hour sessions
in a single day. - Members may reserve no more than three sessions during a calendar week.

Online reservation requests should be submitted no more than three days
before the requested date. - For same-day availability, please contact the GAVAR office.
- All reservations remain pending until reviewed and approved by GAVAR staff.
- Members may cancel online up to 24 hours before their reservation.

Members who repeatedly fail to appear without canceling may temporarily
lose Media Room booking privileges. -
Please arrive on time. Your session will end at the originally scheduled time,
even if you arrive late. - Leave the room and equipment in the same condition in which you found them.
- No food or beverages are permitted, except water.

Misuse of equipment, disruption of staff, or violation of Media Room policies
may result in a reservation being denied or booking privileges being suspended.
A signed Equipment and Media Room Use Agreement is required before a
member’s first reservation.

Waiver and Release of Liability and Indemnity Agreement
Greater Antelope Valley Association of Realtors, Inc. Media Room
This Waiver and Release of Liability and Indemnity Agreement
(this “Agreement”) is entered into as of the date set forth below by the
undersigned member (“Member”) in favor of Greater Antelope Valley
Association of Realtors, Inc., a California nonprofit corporation
(the “Association”). In consideration of being permitted to access and use,
without charge, the Association’s media room and any related facilities,
equipment, furnishings, and services (collectively, the “Media Room”),
Member agrees as follows:
1. Eligibility; No Fee; Purpose of Use
Member represents that Member is a current member of the Association in
good standing and that Member’s access to and use of the Media Room is
voluntary and without charge. Member will use the Media Room solely for
podcasts, media filming, and audio/video recording and for no other purpose
without the Association’s prior written consent.
2. Assumption of Risk
Member understands and acknowledges that use of the Media Room involves
inherent and other risks that may result in personal injury, illness, death,
or property damage. These risks include, without limitation, risks related
to accessing, moving about, and working within the premises; use, setup,
operation, and breakdown of equipment, lighting, cabling, power sources,
and furnishings; electrical hazards; trip, slip, and fall hazards; hearing
damage or other sensory impacts; property damage, loss, theft, or
misplacement; interaction with third parties; and claims asserted by third
parties arising out of Member’s activities.
Member knowingly and voluntarily assumes all such risks, whether known or
unknown, foreseen or unforeseen, and whether arising in whole or in part
from the negligence, but not gross negligence or willful misconduct, of the
Association or any Association Parties.
3. Waiver and Release of Liability
To the fullest extent permitted by California law, Member hereby releases,
waives, and forever discharges the Association and its affiliates, directors,
officers, employees, agents, volunteers, insurers, successors, and assigns
from any and all claims, demands, causes of action, damages, losses,
liabilities, costs, and expenses arising out of or related to Member’s access
to or use of the Media Room.
Member’s waiver and release do not apply to claims to the extent finally
determined to have arisen from the gross negligence or willful misconduct
of the Association Parties.
4. California Civil Code Section 1542 Waiver
Member acknowledges that Member has been advised of, and expressly waives,
the provisions of California Civil Code section 1542, which state:
party does not know or suspect to exist in his or her favor at the time of
executing the release, and that, if known by him or her, would have
materially affected his or her settlement with the debtor or released party.”
Member understands and agrees that this waiver is intended to be a full and
final release of claims as set forth in this Agreement.
5. Indemnification and Defense
To the fullest extent permitted by law, Member shall defend, indemnify,
and hold harmless the Association Parties from and against claims, demands,
suits, investigations, damages, judgments, fines, penalties, costs, and
expenses arising out of or related to Member’s access to or use of the Media
Room, Member’s activities, productions, events, personnel, or media content.
6. Compliance with Laws and Policies
Member shall comply, and cause all associated personnel to comply, with all
applicable laws, regulations, ordinances, Association directives, building
rules, property-management requirements, and fire and safety rules.
Member is solely responsible for obtaining all necessary rights, licenses,
clearances, consents, permissions, permits, and approvals related to the
production and use of any media or materials.
7. Rules of Use

Reservations are required in advance and are limited to the reserved time,
including setup and breakdown. -
Association supervision or check-in may be required, and Member shall
follow all instructions from Association personnel. -
No minors are permitted without prior written consent and direct adult
supervision. -
No hazardous activities, weapons, illegal substances, smoking, vaping,
stunts, pyrotechnics, open flames, or fog or haze machines are permitted. -
Member shall manage noise levels and comply with posted or communicated
sound limits. -
Aisles and exits must remain clear. Life-safety equipment and signage may
not be moved, altered, or blocked. -
Food and beverages are permitted only as posted or with prior consent and
must be kept away from equipment. -
Member shall complete setup and breakdown within the reserved time and
restore the Media Room to its original condition.
8. Equipment and Property
The Media Room and its equipment, furnishings, power, cabling, internet
connectivity, and related items are provided “AS IS,” “WITH ALL FAULTS,”
and “AS AVAILABLE,” without warranties of any kind.
Member is responsible for the proper selection, setup, operation,
monitoring, and security of equipment and for verifying that recordings and
data are captured and stored as intended.
Member shall promptly report damage, malfunction, or unsafe conditions and
shall be responsible for repairing or replacing damage caused by Member or
Member’s guests, crew, employees, contractors, or representatives, normal
wear and tear excepted.
9. Media and Content; Limited Promotional License; Opt-Out
Member owns and controls the content created in the Media Room, subject to
the rights of third parties.
Solely to promote the availability and use of the Media Room, Member grants
the Association a limited, nonexclusive, royalty-free license to use
Member’s name and logo and to capture and use non-confidential,
non-sensitive behind-the-scenes photographs or short video clips.
10. Limitation of Liability; Waiver of Consequential Damages
To the fullest extent permitted by law, no Association Party shall be liable
for indirect, incidental, special, exemplary, punitive, or consequential
damages, including lost profits, loss of data, loss of recordings, or
business interruption.
The total aggregate liability of the Association Parties arising out of or
related to the Media Room or this Agreement shall not exceed One Hundred
Dollars ($100.00).
11. Medical Treatment Authorization; Emergency Contact
In the event of illness or injury to Member while using the Media Room,
Member authorizes the Association to obtain emergency medical care for
Member if such care is reasonably necessary and Member is unable to consent.
Member agrees to be responsible for all costs of such care.
Emergency contact information will be collected in the reservation form
below.
12. Term; Suspension; Termination
This Agreement is effective as of the date signed and remains effective for
as long as Member continues to access or use the Media Room, unless earlier
terminated by the Association. The Association may suspend or revoke
Member’s access for violation of this Agreement or applicable policies.
13. Severability; Governing Law; Venue
If any provision is held invalid or unenforceable, it shall be enforced to
the maximum extent permissible and the remaining provisions shall remain in
full force and effect.
This Agreement is governed by California law. Exclusive venue and
jurisdiction shall lie in the state or federal courts located in Los Angeles
County, California.
14. Integration; Amendment; Waiver
This Agreement, together with any written Media Room policies, constitutes
the entire agreement between the parties regarding the subject matter
described herein and supersedes prior or contemporaneous understandings.
15. Counterparts; Electronic Signatures
This Agreement may be executed in counterparts. Signatures delivered
electronically or by digital acceptance are intended to be binding to the
same extent as original signatures.
16. Representations; Authority; Entity Use
Member represents that all information provided is accurate and complete
and that Member has read and understands this Agreement.
If Member signs on behalf of an entity, the individual signing represents
and warrants that the individual has full authority to bind that entity.
17. Notices
Notices relating to this Agreement shall be directed to Greater Antelope
Valley Association of Realtors, Inc., Attn: Media Room,
1112 W Avenue M-4, Palmdale, CA 93551, or to another address or email
designated by the Association.
18. Acknowledgment
Member understands that this Agreement includes a release of claims for
ordinary negligence, an assumption of risk, and an indemnity, and that
Member is giving up substantial rights.
Member has had an opportunity to ask questions and, if desired, to consult
independent counsel before signing.
